Conference Details:  What You Need To Know

Registration

Thursday, May 10th from Noon to 6:30 pm. Located at the Niagara College Welland Residence building, 100 Niagara College Boulevard, Welland, Ontario L3C 7L3, Canada Ph: 905-735-2211

At Registration you will be greeted by members of the Conference Planning Team, and given your OFFICIAL NAME-TAG.  All delegates must wear their name-tag at all times while at the conference.

 

Roommates

If you have listed your preferred roommates and sent your paid registration form to OSAID before the deadline April 20th and they have also registered by that time, you will be matched with this person.

 

Arrival Time

Conference registration will run from Noon to 6:30pm on Thursday, May 10th.  

Early Arrival:  If you arrive before noon, you will have to wait until the official registration time begins.

 

Keys

Each participant will receive a key to their suite. There is charge for lost keys. 

 

Meals

Your FULL Conference delegate fee covers your meals* (see below) and snacks served at the conference except for Saturday evening during the Niagara Fall free time where you will be responsible for your own dinner. 

There are no official meals served on Registration day Thursday, May 10th  but there will be pizza and pop for sale.

*Friday, May 11th - Breakfast, Lunch and Dinner

*Saturday, May 12th - Breakfast, Lunch  NO DINNER On your own for Dinner

*Sunday, May 13th - Breakfast

*Please note!  Although meals and snacks are provided throughout the conference, each room is equipped with a kitchen.  Delegates are responsible for bringing in any additional snacks or food items they wish to have in their room. 

 

Student Accommodation

There will be four (4) students housed in each residence suite unless you have paid for the Three, Two, or One in a suite Conference package.  Each suite consists of two bedrooms with one double bed in each room.  This means you must share a bed with your roommate.  The suite is equipped with a kitchen with fridge, toaster, microwave etc.  There is one bathroom per suite. 

If you do not want to share a bed, then you should bring a sleeping bag and a camping foamy.

 

Adult Accommodation                                                                                     

There will be two (2) adults housed in each residence suite unless you have paid for the one in a suite Conference package. Each suite consists of two private bedrooms and a shared bathroom.  The suite has a fully equipped kitchen.

 

Late Arrival

If you arrive after 6:30pm on Thursday, May 10th, please secure your luggage with the residence staff and make your way to the “Theatre” (on campus) so that you can participate in the opening ceremonies.  After the opening ceremonies, we can officially register you.

 

Group Arrivals – Adult Advisors

For groups of eight (8) or more delegates arriving at the same time at the conference, with adult advisors, please email info@osaid.ca on receipt of this letter with expected arrival time.  We are planning to facilitate a quick check-in process for groups arriving together and at expected times.

 

Attendance

Student delegates are expected to attend all sessions of the conference.  Delegates who skip sessions will be reported to their school authority and their parents.

 

Leaving the Grounds

Once you have registered for the conference, you may not leave the conference grounds.

 

No student, regardless of age, will be allowed to leave the conference site without a letter of permission from their parents and confirmation from their adult advisor.  The OSAID office must receive letters no later than May 1, 2018.)  The letter must state who, when and why the delegate is being allowed to leave the conference facilities and when they will be returning.  OSAID will accept no responsibility for the student while they are away from the conference facility at non-conference events, even with a receipt of a parental consent form.

 

Conference Theme & Dress

Conference theme is celebrating Canada.  Be creative!  Celebrate your province, city, school and country.

 

Money

There will free time in Niagara Falls  May 12 from 4:00pm to 7:00pm. Delegates are responsible for their own dinner and tourist activities on this night - so you may want to bring spending money.   A reminder that you are expected to be with your adult supervisor and/or group unless prior consent was authorize. There will be limited edition T-shirts for sale at the conference on May 10th only.

 

Cancellation Policy

If you cancel for any reason before April 30th, your delegate fee will be reimbursed LESS a $50 administration fee.

 

If you cancel after May 1st,  YOUR REGISTRATION FEE WILL NOT BE REIMBURSED.

 

 

When you arrive at the conference, look for members of the Conference Planning Team.  (They will have special name tags).  They can help you with any questions you may have.
